Collaboration & Auditing
Records Rocket is built for teams. Our platform provides the tools you need to collaborate securely and efficiently, with a complete audit trail to ensure process integrity from start to finish.
Role-Based Workflows
Our system is built on a foundation of clearly defined user roles, allowing you to delegate tasks with confidence. This enables a streamlined workflow where different team members can contribute based on their permissions.
- A Tenant Admin or assistant uploads new case files.
- A Provider Assistant or technician performs the initial review, bookmarking key pages and running the report generation to create a set of AI-extracted findings.
- The Provider then reviews the curated findings, applies their clinical judgment, and finalizes the report.
This division of labor is managed through our robust permissions system. For more details, see our guide on User Roles & Permissions.
The Finding Review & Approval Process
The most critical collaboration point is the review of AI-generated findings. We ensure that you, the clinician, always have the final say.
- AI Generates Findings: When a report is requested, the AI extracts potential findings and presents them for review. The report status becomes
Awaiting Review. - Clinician Reviews: You can review each finding, which includes the verbatim source text and the AI's contextual summary.
- Approve, Reject, or Edit: You have full control:
- Approve: If the finding is accurate and relevant, you approve it.
- Reject: If the finding is inaccurate or irrelevant, you reject it.
- Add Clinical Impression: You can add your own analysis or commentary to any finding. This
clinicianImpressionis given precedence in the final report, ensuring your expertise is the dominant voice.
This human-in-the-loop system combines the speed of AI with the indispensable expertise of a human clinician, ensuring both efficiency and accuracy.
Audit Trail
Maintaining a clear and comprehensive record of actions is critical for IMEs. Records Rocket automatically logs key activities to provide a complete, auditable history of your case review.
Our system is designed to capture:
- User Actions: Logins, file uploads, and report generations.
- Data Modifications: Creation, updates, and deletions of key records like cases, documents, and annotations.
- Finding Approvals: Every approval or rejection of a finding is logged with the user and timestamp.
- Permission Changes: Any changes to a user's role or their access to a specific case.
Each log entry includes the action performed, the user responsible, the target record, a timestamp, and the user's IP address. This ensures full accountability and traceability for every action taken within the platform.
